# **Getting started** with Sporttia

You start free, with nothing installed at the center and nothing committed. And when the person who set it up leaves, the system is still configured properly.

- **Product:** Sporttia, sports facility management software

## On screen: A season schedule, with its prices

- Morning and afternoon bands have different prices, and the resident band another one.
- The system refuses a band that would leave impossible gaps on the grid.
- The summer schedule stacks on top of the annual one without dismantling it, and reverts by itself when it ends.

## What usually happens

- Software that has to be installed on every computer in the center.
- A one-year contract before you know whether the system is any use.
- The person who set it all up leaves and nobody understands the configuration.
- Schedules with odd bands nobody can account for.
- Courts entered into the system that never show up for booking, with no clue what is missing.

## Four steps, and in this order

1. **You register the center** — Name, address and general opening hours. From here the center exists and you can go in and configure it.
2. **You create the facilities and their courts** — Each court, hall or pool, with its sport and the bookable courts inside it. That is what people will be able to book.
3. **You set the rates** — What each hour costs and for whom. Without a rate attached, a facility cannot go on sale: the system will not let you publish something with no price.
4. **You open the schedule** — The slots people book. They have to be multiples of the facility's interval; if they do not fit, they are rejected rather than saved wrong.

## You start today, with nothing committed

### Free, with four facilities

You start with a real center, its courts and its rates, and you see it working before signing anything. No card and no minimum term.

### Nothing to install

You work from a browser, on any computer at the center. There is no server to maintain and no software to update.

### And you grow when you need to

You grow without rebuilding anything: the facilities, the rates and the members already there stay exactly as they are.

- **€0** — to start, with four courts and fifty members
- **403** — centers already running on Sporttia
- **Browser** — nothing to install on the center's computers

## It does not depend on whoever set it up

### It cannot be left misconfigured

When something would produce a broken grid, the system does not save it: it refuses and says what is missing. And it says it in plain language, not as an error code.

### Prices change in one place

Putting up the padel court price is one operation, not a tour of thirty screens. And if you run membership categories, they all inherit it.

### And whoever arrives next understands it

Every screen says what you are looking at and the manager's manual is published. No knowledge walks out with anybody.

## The system defends itself against mistakes

During the product audit we deliberately tried to leave it in three incoherent states. It answered all three:

| | Before | After |
| --- | --- | --- |
| A schedule with no courts assigned | A form that looked valid | Rejected, saying facilities still have to be assigned |
| A band that does not fit the schedule | Duration and hours each valid on their own | Rejected: «60 min left over», with the exact figure |
| An enrollment window that closes after the start | Both dates are valid | A warning in red under the field and the button blocked |

It does not say «invalid data»: it says what is left over and how much. That is the difference between a system that validates and one that teaches, and it is what matters at a center that turns over staff every season.

## Next season is not built from scratch

### The summer schedule, on top of the annual one

You build the special season without dismantling the usual one, and it reverts by itself when it ends. Nothing to remember undoing.

### Courses duplicate

Next year's academy comes out of this year's, with its groups, its prices and its questions. Only the dates change.

### And a breakdown deconfigures nothing

Closing a court takes it out of service leaving its schedule intact. When it reopens, it comes back as it was.

## What you should know

- Scope is matched to the center and agreed in the demo, on its own facilities and membership types.
- Sporttia does not publish an implementation timescale: it depends on how many courts, rates and membership types the center has. What is always the same is the path.
- Migrating data from another system is not automatic: it is agreed with the Sporttia team depending on what has to come across.

## Frequently asked questions

### What does it cost to start?

It is agreed in the demo, based on the facilities and membership types the center has: a club with two courts is not the same as a council with nine. You can start with no card and no minimum term.

### Does anything have to be installed at the center?

No. You work from a browser on any computer. There is no server to maintain and no software to update. The only thing installed, if the center wants it, are the turnstiles or readers for access control.

### What happens if the person who configured it leaves?

The system does not accept incoherent configurations: when something would produce a broken grid, it refuses and explains what is missing. That, plus the published manager's manual, is what stops knowledge walking out with one person.

### Can I bring across the data from the software I use now?

It depends what has to come across and what format it is in. It is not automatic: it is agreed with the Sporttia team before you start, and the usual case is bringing the member list and their memberships.

### How long does it take for a center to be up and running?

It depends how many courts, rates and membership types it has, so we do not publish a single timescale. What is always the same is the path, and in a twenty-minute demo one facility is left genuinely bookable.
