# **Management reports** for a sports center

Your annual report without cross-referencing spreadsheets. Thirteen reports that answer what a public sports service has to account for, in PDF and CSV.

## On screen: The usage record for one facility

- Bookings, closures, courses and events in the same table, with a column that tells them apart.
- An unused court can be accounted for: it was not free, it was closed for maintenance.
- Every report filters and downloads as PDF or CSV, ready to hand over.

## What usually happens

- Annual reports built by hand from cross-referenced spreadsheets.
- Nobody knows which facility gets used and which one is always empty.
- Duplicated dues that only come to light when the member complains.
- Lists that have to be reformatted before they can be handed over.
- Absences with no way of knowing whether they were made up.

## The annual report comes out of the system

### Real usage of every facility

How many hours each court was taken, by whom and at what price. And the ones that went unused because they were closed.

### Enrollments, course by course

How many are in each group, how much they have paid and how much they owe. With a month-by-month history to compare seasons.

### PDF to hand over, CSV to work with

Every report comes out in both formats, with the totals already worked out. Nothing needs reformatting.

- **13** — distinct reports, from occupancy to entrances per member
- **PDF and CSV** — both formats, on all of them, with the totals done
- **0** — spreadsheets to cross-reference by hand

## What you see on screen is what comes out in the report

Four operations were carried out over one afternoon during the product audit. The occupancy report was then run, with no filters:

| | Before | After |
| --- | --- | --- |
| Operations carried out | 1 closure and 3 bookings | 4 rows in the report |
| The maintenance closure | Created from the grid | Appears as such, with its reason and its hours |
| The booking that was paid | €12.00 at the desk | €12.00 in the report |
| Discrepancies | — | None |

For a public service that has to defend a report to an auditor, the report and the screen saying the same thing is not a detail: it is the whole argument.

## Decide on data, not on a feeling

### Which court is spare and which one is missing

Occupancy by facility and by time band tells you where to raise the price and where you need another court.

### How many members actually turn up

The entrances report tells who pays the fee from who pays and also comes in. That is what you set prices and hours from.

### How the year compares with the last one

Bookings, income and members month by month, against last season. Without building a single chart.

### And the errors before they reach a member

There is a report that hunts for duplicated dues, so you find them before the bank collects them.

## On screen: The center's year, at a glance

- Income for the year, outstanding debt, member balances and bookings, without opening a single report.
- The three series compare this year with the last one, month by month.
- The figures come from the center's real operations, not from a dashboard somebody maintains.

## The thirteen reports

| Area | What it answers |
| --- | --- |
| Facilities | Court occupancy, capacity and bookings cancelled during the year. |
| Courses | Enrollments by course and rate, class lists, enrollments by month and absences. |
| Dues | The state of each course's dues and dues raised in the period. |
| Errors | Members with duplicated dues, before the bank collects them. |
| Entrances | Unique member entrances by month and year. |
| Members | Members with a payment credential on file. |

## What members sort out themselves

Desde la app gratuita, sin pasar por el mostrador.

- See all their sporting activity in one calendar.
- Check their history of bookings, courses and payments.

## What you should know

- The report catalog is defined by Sporttia: there is no free-form query builder and no connection to an external dashboard.
- Comparisons are against the previous year. A center in its first season will see the prior series at zero, and that is not a fault.
- No report balances the day's till: that is what till control is for, which distinguishes the payment date from the usage date.

## Frequently asked questions

### What formats do the reports download in?

PDF and CSV, all of them, with the amount totals already worked out. The PDF is for handing over and the CSV for carrying on in a spreadsheet.

### Does the occupancy report tell a free court from a closed one?

Yes, and that is its most useful column. It brings bookings, closures, courses and events into the same table with a column that distinguishes them, so an unused court can be accounted for: it was not free, it was out of service.

### Which report do I use to balance the day's till?

None: that is what till control is for, which shows only money collected and distinguishes the payment date from the usage date. The reports answer management questions, like occupancy or enrollments.

### Can I find out how many members actually use their membership?

Yes, with the unique entrances report by month and year. It tells who pays the fee from who pays and also comes in, which is the difference that matters when deciding prices and hours.

### How many reports are there?

Thirteen, spread across facilities, courses, dues, entrances and members. Not every center sees the same ones: the screen shows those that match what the center has bought.
