# Managing **memberships and recurring dues**

Memberships with their recurring dues, their joining fee and their perks. They raise themselves every month, and members sign up without coming to reception.

## On screen: One membership type, with its dues and its conditions

- The dues, how often they recur, the joining fee and the expiry belong to the membership: decided once, applied to everyone on it.
- One membership can hang off another, so «adult members» inherits from the general one whatever they share.
- A cap on members stops you selling more memberships than the center can serve.

## What usually happens

- Membership dues raised by hand every month, with things forgotten and things charged twice.
- Families who pay one fee but have to be managed as four separate members.
- Rates and access rights configured all over again for every membership category.
- Cancellations that wipe the history and leave the center unable to say who was ever a member.
- Members with overdue dues still walking into the gym as if nothing had happened.

## The receipts go out without anyone raising them

### Each member's dues, every month

Raised on the date that belongs to each one, based on when they joined. Nothing forgotten and nothing charged twice at month end.

### Two hundred members, one operation

With the IBAN on file, every due for the month goes out in a single batch to the bank. The front desk collects none of them.

### Members join on their own

They pick their membership from their phone, pay the joining fee and they are in. Reception does not get involved.

- **1** — receipt for a whole family, with one holder who pays
- **9** — distinct perks you can give only to your members
- **0** — members in debt who still get through the turnstile

## Being a member has to be worth something

### Member prices on the courts

A rate can be reserved for your members, so only they see it when booking. It is the perk people notice most.

### Booking before everyone else

Members open their week further ahead, or are the only ones who can book online at all. You decide it per membership type.

### Getting in on their own hours

The off-peak membership opens the turnstile from seven to three, and the full one at any hour. Each with its own days and bands.

## Configure once, apply to everyone

A center with general, junior and adult memberships does not configure the same thing three times. Verified on a real hierarchy:

| | Before | After |
| --- | --- | --- |
| «Members» membership | — | Holds the rates and access rights everyone shares |
| «Adult members» and «Junior members» | Everything would have to be repeated | Inherit from the general one and declare only their dues and their hours |

When the center changes the member court price, it changes it in one place and every category inherits it. That is the difference between ten minutes and an afternoon.

## Families and cancellations, without the mess

### One family membership, one receipt

The holder pays and their family get in on their authorization. They are added from the holder's record, up to whatever cap the membership sets.

### People who leave, leave; people signed up by mistake, get deleted

Cancelling keeps the history so you can account for it; deleting leaves no trace. They are two operations because in the books they are two things.

### Requirements that check themselves

To join the competition academy you have to be a member first. The system will not complete the sign-up unless that holds.

## What you can give only to your members

| Perk | What the member gets |
| --- | --- |
| Book online | They can book from their phone; everyone else only at the desk. |
| Book without paying up front | They leave the payment outstanding and settle it later. |
| Cancel on their own | They cancel within the window without calling the center. |
| See whose booking is whose | They know who they will be sharing the courts with. |
| Pay with their balance | They use their wallet at the center instead of a card. |
| Pay by card | They close the booking there and then. |
| Bring companions | They sign up family or friends and pay for them. |
| Join classes and pay later | They take their place on a course without paying immediately. |
| Set up a direct debit | The fee joins the batch instead of going through the till. |

## What members sort out themselves

Desde la app gratuita, sin pasar por el mostrador.

- Take out their membership from their phone and pay the joining fee.
- See their dues and what is still outstanding.
- Set up a direct debit so they never queue at the desk again.
- Get into the facilities on their membership, without going through reception.

## What you should know

- Family memberships are not bought online: the center checks the family requirements itself.
- Perks are granted per membership type, not person by person. For an individual exception you create a category with that condition.
- Membership dues are raised from each member's start date, and course dues by calendar month. Those are two different rules.

## Frequently asked questions

### What is the difference between a membership and a punch pass?

A membership is a subscription: you pay a recurring fee and it gives you access and perks while it is live. A punch pass is a card of uses that runs out. Members see them as two different products in the app.

### Can a family share a single membership?

Yes. The holder is the one who pays and their family are added from their record, up to whatever cap the membership sets. Each of them gets in on the holder's authorization. It is not bought online, because the center checks the family requirements itself.

### What happens if a member does not pay their dues?

The charge stays as debt on their record and, at centers with access control, the turnstile does not open for them and the administrator is notified. You can allow a grace period of a few days before the block bites.

### Can I give members different court prices?

Yes, and it is the perk people notice most. A rate can be reserved for a membership type, so only its members see it when booking. And if one category hangs off another, it inherits its rates as well.

### Can I require membership to join an academy?

Yes. Both a membership and a course group can require prior membership, and the system will not complete the sign-up unless it holds. It is how you reserve places for members or residents without checking by hand.
